Opportunity to work as Legal Administrative Assistant at Bourgeon Immigration Consultancy Inc.
Job Duties:
Answer telephone and relay telephone calls and messages.
Answer electronic mail enquiries.
Open and file regular and electronic mail – create subfolders.
Schedule and confirm appointments, meetings and conferences.
Manage the client intake and onboarding process, including gathering all necessary information to identify clients, verifying identification as required, conducting conflicts checks, preparing retainer agreements, and opening and closing client files.
Set up and maintain manual and computerized information filing systems, including scanning all incoming and outgoing materials to the electronic files and backing up data.
Prepare, review and proofread formal documents, including correspondence, reports, memos, emails and presentations.
Record and prepare minutes of court sessions, meetings or conferences.
Track and record expenses, payments, and other financial transactions.
Keep track of and order office supplies (subject to approval) and maintain inventory.
Determine and establish office procedures and routines.
